Billable is operated by Coaching Dev Labs, LLC. In this policy, "we," "us," and "our" refer to Coaching Dev Labs, LLC. "Billable" refers to the web application at app.joinbillable.com and any related services.

We collect information you provide directly when using Billable:

• Account information: name, email address, and password when you create an account.
• Billing data: client names, project details, time entries, expense records, and invoice information you enter into the platform.
• Receipt images: photos or documents uploaded to the Shoebox feature for expense extraction.
• Payment information: when you connect Stripe for online payments, Stripe processes your payment data directly. We do not store your credit card details.
• Usage data: we automatically collect basic analytics such as pages visited, browser type, and device information to improve the service.

3. How We Use Your Information

• To provide and maintain the Billable service, including time tracking, invoicing, and expense management.
• To process receipt images through our AI-powered Shoebox feature.
• To send transactional emails such as invoice notifications and account updates.
• To improve the product and fix bugs.
• To communicate important service updates or changes.

4. Data Sharing

We do not sell your personal information. We share data only with:

• Stripe: to process payments when you enable online invoice payments via Stripe Connect.
• Infrastructure providers: hosting and database services necessary to run Billable.
• AI processing: receipt images may be processed by third-party AI services for text extraction. These providers do not retain your data beyond processing.

5. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where retention is required by law (e.g., financial records).

6. Data Security

We use industry-standard security measures including encryption in transit (TLS) and at rest to protect your data. However, no method of transmission over the internet is 100% secure.

7. Your Rights

You may at any time:

• Export your data via CSV export (available on the Pro plan).
• Request deletion of your account and associated data.
• Update or correct your personal information within the app.

8. Cookies

We use essential cookies to keep you logged in and maintain your session. We do not use advertising or third-party tracking cookies.

9. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes via email or an in-app notice.
